ERP Data Entry Officer (3) – Global Fund Program

Location: Ministry of Health, State Department for Medical Services (NASCOP)

Reports to: Head, NASCOP

Contract Type: Fixed-Term (Renewable based on performance and funding availability)


Job Summary

The ERP Data Entry Officer will be responsible for accurately entering, updating, and maintaining financial, procurement, and programmatic data in the Enterprise Resource Planning (ERP) system for the Global Fund grants. The officer will ensure data integrity, compliance with donor requirements, and timely processing of transactions to support effective grant management.


Key Responsibilities

1. Data Entry & System Updates

  • Accurately input financial, procurement, and program data into the ERP system as per established guidelines.
  • Ensure timely and accurate processing of transactions, including purchase orders, invoices, payments, and budget allocations.
  • Regularly update records to reflect current grant expenditures and commitments.
  • Review and verify data entries for completeness, accuracy, and compliance with Global Fund and Ministry of Health policies.
  • Identify and correct data discrepancies in collaboration with finance, procurement, and program teams.
  • Ensure all supporting documents are properly attached and archived in the ERP system.
  • Generate routine reports from the ERP system for review by finance, procurement, and program teams.
  • Assist in preparing periodic financial and grant reports for submission to relevant stakeholders.
  • Maintain proper documentation of data entry logs and any system-generated reports.

2. System Support & Compliance

  • Assist ERP users with basic troubleshooting and navigation of the system.
  • Report any system errors, issues, or irregularities to the ERP Coordinator for resolution.
  • Participate in ERP user training sessions and continuously update knowledge on system functionalities.
  • Ensure data entered into the system aligns with internal controls, audit recommendations, and Global Fund policies.
  • Support audit and compliance teams by retrieving data and generating required reports.
  • Maintain confidentiality and security of sensitive financial and grant data.

Qualifications & Experience

  • Diploma or Bachelor’s degree in Finance, Accounting, IT, Business Administration, or a related field.
  • At least 1–3 years of experience in data entry, financial systems, or grant administration.
  • Experience with ERP software such as SAP, Microsoft Dynamics, Navision, or similar systems is an added advantage.
  • Familiarity with Global Fund grants or donor-funded projects is an added advantage.

Skills & Competencies

  • Strong attention to detail and accuracy in data entry.
  • Basic understanding of financial transactions and procurement processes.
  • Proficiency in Microsoft Excel and other data management tools.
  • Ability to work under minimal supervision and meet strict deadlines.
  • Good communication and teamwork skills.
